Shipping & Transfer Policy

This Shipping & Transfer Policy explains how orders are fulfilled for purchases from Collectable Arms, LLC (“we,” “us,” “our“). By placing an order, you agree to the terms of this policy.

1. Overview of Our Fulfillment Model

Collectable Arms, LLC operates using a dropship fulfillment model. This means:

  • Many items are shipped directly from third-party distributors and manufacturers.

  • We may not physically stock every item listed on our Website.

  • Inventory, availability, and pricing are subject to change without notice based on distributor stock levels.

This model allows us to offer a wide selection of products while maintaining competitive pricing.

2. Firearm Transfers

Federal Requirements

Under federal law, firearms cannot be shipped directly to individual purchasers (with limited exceptions). All firearms must be transferred through a licensed Federal Firearms Licensee (FFL).

Transfer Options

When purchasing a firearm, you must select one of the following options:

Option A: Transfer to Your Designated FFL

  • At checkout, provide the name, address, and contact information for a licensed FFL in your area that has agreed to receive the firearm on your behalf.

  • We (or our distributor) will ship the firearm to your designated FFL.

  • You are responsible for contacting your FFL in advance to confirm they will accept the transfer and to understand their fees and procedures.

Option B: In-Store Pickup at Our Location

  • Select in-store pickup at checkout.

  • The firearm will be available for transfer at our Crawfordville, Florida location.

  • We will notify you when the firearm is ready.

The Transfer Process

  1. Background Check: The receiving FFL will conduct a background check through NICS (or state equivalent) as required by law.

  2. ATF Form 4473: You must complete ATF Form 4473 (Firearms Transaction Record) at the FFL.

  3. Identification: You must present valid, government-issued photo identification showing your current physical address. Your ID address must match your current residence.

  4. Waiting Periods: Some states and localities require waiting periods before you may take possession. You are responsible for complying with all applicable waiting periods.

  5. Possession: Once the background check is approved (or the applicable waiting period has elapsed), you may take physical possession of the firearm.

FFL Fees

Your designated FFL may charge a transfer fee for their services. This fee is separate from your purchase price and is paid directly to the FFL. Transfer fees vary by FFL and typically range from $20 to $75 or more. We are not responsible for FFL transfer fees, and these fees are non-refundable by us.

Your Responsibilities

  • Confirm your designated FFL will accept transfers before placing your order.

  • Provide accurate FFL information at checkout.

  • Complete all required paperwork truthfully and completely.

  • Present valid identification matching your current residence.

  • Comply with all federal, state, and local laws, including waiting periods and permit requirements.

  • Pick up your firearm in a timely manner (typically within 30 days of availability; FFLs may charge storage fees or return unclaimed firearms).

Delayed or Denied Transfers

  • NICS Delay: If your background check is delayed, you must wait for final determination or until the legally permitted time has elapsed (typically 3 business days federally, though some states have longer requirements).

  • NICS Denial: If your background check is denied, the transfer cannot be completed. See our Refund & Returns Policy for information about refunds in this situation.

  • State Denials: Some states have additional background check systems that may result in delays or denials independent of NICS.

3. Shipping of Non-Firearm Items

General Shipping

Non-firearm items (accessories, gear, apparel, parts, etc.) will be shipped via common carriers (USPS, UPS, FedEx, or similar) to the shipping address you provide at checkout.

Shipping Timeframes

  • Processing Time: Orders typically ship within 1–5 business days, depending on item availability and distributor stock.

  • Transit Time: Varies based on shipping method selected and destination. Estimated delivery times are displayed at checkout.

  • Business Days: Business days are Monday through Friday, excluding federal holidays.

Note: Because we use a dropship model, some items may ship from different locations and arrive in separate packages.

Shipping Costs

Shipping costs are calculated at checkout based on:

  • Items ordered

  • Shipping destination

  • Shipping method selected

Shipping charges are non-refundable except in cases of our error.

Shipping Restrictions

We ship non-firearm items to addresses within the United States only (including APO/FPO addresses where permitted).

Certain items may be restricted in specific states, counties, or municipalities (e.g., magazine capacity restrictions). We reserve the right to cancel orders for items that cannot be legally shipped to your location. See Section 6 below.

4. Ammunition Shipping

General Policy

Ammunition ships via ground carriers only to the contiguous 48 United States.

Restrictions

  • We cannot ship ammunition to: Alaska, Hawaii, U.S. territories, or international destinations.

  • State Restrictions: Some states (e.g., California, Illinois, Massachusetts, New York, Connecticut, New Jersey) have specific ammunition shipping restrictions or require that ammunition be shipped to a licensed dealer. It is your responsibility to know the laws of your jurisdiction. We may require shipment to an FFL in restricted states.

  • We reserve the right to cancel ammunition orders that cannot be legally fulfilled.

Signature Requirement

Due to carrier policies and the nature of ammunition, a signature may be required upon delivery. Please ensure someone is available to sign for the package.

5. Inventory & Availability

Because we utilize a dropship model with multiple distributors:

  • Inventory is subject to real-time availability and may sell out without notice.

  • Prices are subject to change based on distributor pricing.

  • Product descriptions, images, and specifications are provided by manufacturers/distributors and may contain errors.

If an item you ordered becomes unavailable:

  • We will notify you promptly.

  • We will offer alternatives (substitute item, backorder) or cancel the item.

  • If cancelled, you will receive a full refund for that item.

6. Jurisdiction-Specific Restrictions

Certain products may be prohibited, restricted, or require permits in your state, county, or municipality. Examples include:

  • Magazine capacity limits (e.g., 10-round limits in California, Colorado, Connecticut, Maryland, Massachusetts, New Jersey, New York, Vermont, Washington, D.C.)

  • Firearm feature restrictions (e.g., “assault weapon” bans)

  • Ammunition purchase restrictions

  • Permit requirements

It is solely your responsibility to ensure that items you order comply with all applicable laws in your jurisdiction. We are not responsible for confiscation of items by law enforcement or other consequences of ordering items prohibited in your jurisdiction.

We reserve the right to cancel any order for items we determine, in our discretion, may not be lawfully shipped to or possessed in your location.

7. Risk of Loss & Title

Firearms

For firearms and other items requiring FFL transfer:

  • Title and risk of loss remain with us until you have completed all required transfer paperwork and taken physical possession of the item from the transferring FFL.

  • Once you sign for and take possession of the firearm, title and risk pass to you.

Non-Firearm Items

For items shipped directly to you:

  • Title and risk of loss pass to you upon delivery by the carrier to the shipping address provided.

  • If a package shows as delivered but you did not receive it, contact the carrier first to initiate a trace. We will assist where possible but are not responsible for packages confirmed as delivered.

8. Order Tracking

After your order ships, you will receive a confirmation email with tracking information (where available). You can track your shipment using the carrier’s website.

Note: Some items shipping directly from distributors may have limited tracking visibility. If you have questions about your order status, contact us.

9. International Shipping & Export Restrictions

  • We do not ship firearms, ammunition, or regulated items outside the United States.

  • We do not ship items subject to U.S. export control laws (ITAR, EAR) to international destinations.

  • Non-regulated items may be shipped internationally on a case-by-case basis. Contact us for more information.

10. Address Accuracy

Please ensure your shipping address is accurate and complete. We are not responsible for:

  • Packages delivered to incorrect addresses due to customer error

  • Packages undeliverable due to incomplete addresses

  • Re-shipping costs for address corrections

If you notice an address error after placing your order, contact us immediately. We will attempt to correct it if the order has not yet shipped.

11. Undeliverable Packages

If a package is returned to us as undeliverable (due to incorrect address, refusal, or failure to pick up):

  • We will contact you to arrange re-shipment.

  • Additional shipping charges will apply for re-shipment.

  • If you do not respond within 30 days, the order may be cancelled and a refund issued less original shipping costs and a 10% restocking fee.
